Dear Programmers I am in need of a small Access project management Application.
The Access project man appl is for a small construction and maintenance company
that gets contracts from a government agency. The language to be used is dutch
but We will do this in English for simplicity reasons and will use a language
file to translate the text in the application. So, keep in mind that the text
that is going to appear on screen will need to be in a language file, that can
be updated at any time. There must be a superadmin that can create other users
and can give the users read, write or edit rights/access.
The app must also be able to add other companies that will use the same
application but completely seperate.
The application will use templates for the proposals, invoices. These must be
printed out.
Also the accounting reports must be printed out so, they must have a crip and
easy to read layout.

Areas of the application.
Installation/Configuration
Company Configuration
Items to fill in: Company name, address, phone, email, logo placement, Fax
Number, Bank Account Number, Chamber of Commerce number.
Projects
Mark project as regular project or public proposal. Categories of projects these
can be used later to create report on categories. Categories must be able to be
added only by super admin.
Standard Items to fill in: Provider(can be auto filled in as name of
company),address, phone (same as providers), Units, Project Description, Price
per unit, Total,
Reason, In order of Department, Date Petition, Name Petitioner, Project ID
(reserve 8 characters for ID). Project Id is one of the most important fields.
This number is linked to all areas of the application also used in the
accounting area on per project base.
Proposal Creation
Proposal is created from the information described in the project.
If in category of public proposal then specification is mandatory.
Specification is a summation of the costs per item, some will have standad
labels, and one must be able to add cost items and label them if they are not
standard.
Standard Items: Labour fee, Materials fee.
Option to specify proposal., Specification of proposal.

Subcontracter Name, Costs per item
Project management is done by creating todo lists. I must be able to add as many
todo items as necessary. Each todo item will be on one line.
Must be able to fill in the Costs of the project and label each cost. For
example labour/materials, onforseen costs, transportation etc. There will be
some standard labels and there must be possibility to name a cost that has no
label yet.
These costs are the costs that the accounting will work with and not with the
costs of the proposal or invoice.


Invoice creation
Based on the proposal an invoice must be created on demand. With tax amount
included. Same fee as in proposal of same project. This must be done
automatically. A new invoice number must be created on each invoice
automatically.
Accounting
Based on each project simple accounting reports must be performed.
One must be able to find out what the net win or net loss was on one project, by
introducing project id, or by searching on one. This can be obtained by
subtracting the costs in the workphase from the amount of the proposal fee.
One must also be able to mark a project as completed, open, on hold, cancelled.
Also one must be able to mark a project as payment received. This is when the
payment for the work has been processed. One must be able to run also a report
that will tell you which projects have already been paid out. You will need to
see the payment date, amount, Short project description and project id.
A chart must also be created that will show the progress in time of the project.
Depending on the amount of todo items created the percentages are marked. For
example if I create a 10 todo items that means that each item takes up 10% and
that must be displayed in the chart gantt style. So the todo items must have
ability to mark them as completed or in progress. There must be able to add todo
lists as the project is progressing. Change must be displayed and updated in
chart also.
Reports: What is my netwin/netloss over a time span, per project
Run report on all taxes that need to be paid. So, report on taxes over a
timespan.
Searching
A search area must be created.
Search can be done on timespan, description, category, project id, invoice
number.
One must be able to search per project number and get project. And drill down
to other subareas of project. All projects must stay in the system even
completed projects and cancelled projects.
