The information in this request for quote (RFQ) is proprietary information and by reading it you agree to maintain confidentiality. You agree not to divulge this information to any party including but not limited to third parties which may or may not be our competitors. You agree not to compete with Inland Digital Inc. You agree that the information herein will be used solely for the purposes of providing the RFQ and acknowledge that if you win the business that you will endorse a written agreement whereby we Inland Digital Inc. will maintain all rights and ownership to the source code. Now that the legal mumbo jumbo is out of the way here's what we need. We need a database for our existing web site to be hosted on our server. The purpose of the database is to collect and manage e-waste collection information. Currently we collect information by phone manually write it down in a pick up log and then enter the information including weight of items picked up into a state approved log before it is sent to a recycler. The proposed database would streamline our process provide for tracking of the e-waste and allow for the generation of reports for business management purposes. The database should allow the end user to enter their name address and other pertinent information securely into a form on our web site. The information we collect at this point will be name address phone best time to contact and quantity and description of items though we would like freedom to change or add to these fields before the project actually starts. There should be a unique serial number attached to each pick up. That way the driver knows the serial number for the pick up can affix a label on each unit and then it can be tracked all the way through the process. This public form should be protected against misuse such as by spambots and it should be sent securely to protect end users personal information. Our staff should be able to access a password protected web page for viewing and or changing information. They should be able to filter a report showing end users that have not been contacted view this report to contact the end user and arrange the pick up. Once the end user is contacted the staff will then update the database with date and time scheduled price quoted sales person driver and or route and any notes we would like freedom to change or add to these fields before the project actually starts. They will then be able to print out a report to be used as the bill of lading so our driver knows all the details that have been collected by our staff. Also in addition to the bill of lading the staff will print out several serial numbers on inkjet labels based on the quantity of items indicated for pick up. There should always be 50% extra labels printed because often end users miscount or just give an average. We plan to use basic blank inkjet paper and Avery type inkjet labels. Once the e-waste is picked up our staff will need to update the database again. They will need a filtered report showing scheduled pick ups that have not been completed. They will enter the remaining information based on the fields in the state approved template found at http://www.ciwmb.ca.gov/Electronics/Forms/CIWMB198.xls so that when they are finished we will have another filtered report showing completed transactions. Unlike the state approved form each item will become a transaction (or line item) so that each item is essentially tracked separately rather than grouped. An example of why this is needed is: Mr. Jones has us pick up a computer and a monitor, we hold onto the computer to wait for enough volume to get the best scrap price the monitor is immediately sent to be recycled because it is a fixed price. Later we want to be able to view items picked up that have not been recycled thereby still maintaining the information as to the original source and serial number preventing the computer from needing to be entered into the system again. Of the completed transactions not all transactions will be sent to the recycler at the same time as indicated. I need to be able to have staff select from completed transactions which ones are to be sent and separate them into a batch. The batch of sent transactions should then be tagged and filtered by date and recycler so that I know which completed transactions are not batched which ones are batched but not sent and where each batch is such as if it is in the warehouse or to which recycler it went to. Batches should also have a separate unique computer generated serial number that can be written on the pallets or boxes and tracked thereby. We will need to track where in the warehouse each batch is by warehouse location. Warehouse locations will be designated by simple letters such as A B C etc. That way if there happens to be an item that is found loose the staff can identify where it should go and who it originally belonged to. The staff should then be able using the batch serial number to identify where in the warehouse the batches are and load them on the truck accordingly. The staff should then be able to view/print the batched transactions in a format which satisfies the state approved form (indicated above) including calculations. After the all of items from one serial number are batched and finally sent to the recycler we want an ASCII or comma delimited file to be generated so that staff can use mail merge and send a letter to the end user indicating all of the items collected have now been recycled. We don't want to send them a letter with each batch but rather when all serial numbers have been assigned to a batch. The idea is that serial numbers may be spread across more than one batch and when all the items have been batched we want to notify the end user. The database should be able to accommodate at least one year's worth of information live on the site. Older information can be archived. In the beginning the number of transactions will be relatively small but we need to allow for about 100000 transactions per month. Administrators should also have the ability to download the entire database filtered by date into Microsoft Access for custom reporting filtering archiving etc. Separately we would like quoted the ability to have the pick ups batched together into routes where the staff could sort the order of pick ups based on the addresses being plotted on Mapquest or similar mapping program so that route maps are printed with the bill of ladings.
