o Database to store Apartment Info – name, address, rates, specials, policy info, amenities, location info, photos / floor plans, min bdrms, max bdrms, credit strictness, property grade, pet info, utilities, preferred Employers, etc. o Password Protected Administrative Manager – Add, Edit, Delete Each Apartment will have their own page with photos, info, videos, etc. o Cross-reference to Customer Database 2. Customer Database o Database to store Customer Info - name, contact info, Occupant/Roommate Info, search criteria, application info, leasing history, date of entry, apartments “shown”, apt rented, lease start date, lease expiration date, admin notes, status, etc. o Cross-reference to Apartments Database o Password Protected Administrative Manager – Add, Edit, Delete Customers 3. User Accounts Database o Database stores users’ name, user id, password, email address o Password Protected Administrative Manager – Add, Edit, Delete User Accounts o Secure Login – checks user id/password against Database – o Password Reminder -- _ Enter their email address _ If email address is found in database, then system will email them with their username and password _ If email address is not found in database, then message will be given to contact system administrator - Remember Me – _ Sets cookie on user’s computer which allows automatic recognition and login with each visit until cookie is deleted by user - Permission Settings – _ only allows access to areas permitted based on permission settings 4. Search Functions: A. Customers Search Search by name, status, city, zip code, employer, apt rented, lease start date, lease exp date, entry date Keyword Search B. Apartments Search Search by name, number of bedrooms/baths, number/types of pets allowed, geographic area, city, zip code, schools, credit strictness, amenities, property grade Keyword C. Email Search Report to Customer Saves search criteria to simple “reports” database – allows for real-time results when customer retrieves report Administrator can view/delete from list in manager program Emails link for retrieval to customer - better chance of getting through spam filters if email is in text format instead of HTML View Report link – outputs in HTML layout to include photos and floorplan (similar to Realtor.com) D. Customer Lease Renewal Reminder Display list of leases due for renewal in ‘X’ number of days – to be set by Administrator Administrator can customize email message to be sent Queue for emails to be auto-sent – allows administrator to remove email from queue Send Now link will send email right away and remove from queue Re-queue archived email to be re-sent to customer Enters email send date/time into Customer file in database I have an excel sheet that has all the fields the database should need.
